Terms & Conditions

1. Who we are

Black Book Apart Hotels is a trading name of Borough (York Way) Limited, a company registered in England and Wales. These terms apply whenever you make a booking with us directly - whether through our website, by email, by phone, or through a relocation partner acting on your behalf.

By making a reservation with us, you agree to be bound by these terms. Please read them before you book. We may update these terms from time to time; the version in place on the date you make your booking is the one that applies to your stay.

2. Making a booking

You can request a booking through our enquiry form, by email, or by phone. A booking is only confirmed once we have sent you written confirmation (by email) and, where applicable, received any deposit or payment due. Enquiries alone do not guarantee availability.

You must be at least 18 years old to make a booking, and the lead guest named on the booking is responsible for the accuracy of the information provided and for the conduct of everyone staying under that booking.

3. Rates and payment

Rates are quoted per apartment, per night, unless otherwise agreed in writing (for example, for longer corporate stays billed monthly). The rate confirmed at the time of booking is the rate you pay, save for any additional services requested afterwards.

Payment terms vary depending on the length and nature of the stay and will be confirmed in your booking invoice. We accept payment by bank transfer or card as set out on your invoice. Where a corporate relocation partner is booking and paying on a guest's behalf, invoicing arrangements will be agreed separately with that partner.

4. Occupancy

Each apartment has a maximum occupancy stated at the time of booking, based on the number of beds and sofa beds available. This limit may not be exceeded without our prior agreement. Occupancy is not transferable to a different guest without our consent.

5. Check-in and check-out

Standard check-in and check-out times will be confirmed with your booking, along with any self-check-in arrangements where applicable. If you expect to arrive significantly outside the agreed window, please let us know in advance so we can make arrangements.

6. Cancellations and changes

Cancellation terms depend on the rate booked and will be set out clearly in your booking confirmation. As a general position, longer corporate stays and bespoke relocation bookings are agreed on a case-by-case basis and the specific cancellation terms for your booking will always be confirmed in writing before you are asked to pay.

If you need to shorten, extend, or otherwise change a confirmed booking, please contact us as early as possible - we will always try to accommodate changes where we reasonably can, though this may affect the rate payable.

7. During your stay

We ask that guests treat each apartment, its contents, and neighbouring residents with reasonable care and consideration. Guests are responsible for any loss or damage caused to the apartment or its contents beyond fair wear and tear, and the cost of remedying this may be charged to the lead guest.

Smoking is not permitted inside any of our apartments. Pets are considered on a case-by-case basis and must be agreed with us in advance of arrival. We reserve the right to end a stay early, without refund, where a guest's conduct causes damage, distress to neighbours, or a breach of these terms.

Our housekeeping team may need reasonable access to the apartment during a stay for cleaning, maintenance, or safety checks; we will always aim to arrange this at a convenient time.

8. Our responsibilities to you

We will take reasonable care to ensure each apartment is clean, safe, and matches the standard described at the time of booking. Where something falls short of that during your stay, please let us know as soon as possible so we can put it right.

We are not liable for matters outside our reasonable control - for example, utility outages, third-party building works, or events such as severe weather or public health measures that prevent us from providing a booked apartment. Where this happens, we will contact you as soon as we can and, where a stay cannot go ahead as booked, arrange a fair refund or alternative.

Nothing in these terms limits our liability for death or personal injury caused by our negligence, or for anything else which cannot lawfully be limited or excluded.

9. Your information

We handle any personal information you give us in connection with a booking in line with our Privacy Policy, which explains what we collect, why, and how you can contact us about it.

10. Governing law

These terms are governed by the law of England and Wales, and any dispute relating to a booking or stay with us will be subject to the exclusive jurisdiction of the courts of England and Wales.
