Black Book Apart Hotels is a trading name of Borough (York Way) Limited. This policy explains what personal information we collect when you enquire about or book one of our residences, why we collect it, and how we look after it.

2. What we collect

When you send an enquiry or make a booking, we typically collect:

• Your name, email address, and phone number
• Your company name, where relevant (for example, if a relocation partner is booking on your behalf)
• Details of your enquiry - dates, property of interest, number of guests, and anything else you choose to tell us
• Payment and billing details necessary to process a confirmed booking

We do not knowingly collect any special category data (such as health information) unless you choose to share it with us - for example, to let us know about an accessibility requirement ahead of your stay.

3. How we use it

We use your information to:

• Respond to enquiries and confirm bookings
• Manage your stay, including check-in arrangements and any requests you make
• Send you booking-related communications, such as confirmations and invoices
• Where you've opted in, send occasional updates about new availability or properties
• Meet our own legal and accounting obligations

We do not sell your personal information to third parties.

4. Enquiry and booking forms

When you submit our website's enquiry form, the information you enter is processed by our website hosting provider, Netlify, in order to deliver your message to us by email. It is not used by Netlify for any other purpose.

5. Sharing your information

We share personal information with third parties only where it's necessary to deliver your stay - for example, with cleaning or maintenance contractors who may need to know your check-in dates, or with payment processors to handle a transaction. We do not share your information with third parties for their own marketing purposes.

6. How long we keep it

We keep booking-related information for as long as reasonably necessary to fulfil the booking, deal with any related queries, and meet our legal and tax obligations, after which it is deleted or anonymised. If you've simply sent an enquiry that didn't turn into a booking, we'll keep it for a reasonable period in case you follow up, and delete it if we don't hear back.

7. Cookies

Our website does not currently use tracking or advertising cookies. Should this change in future, this policy will be updated to explain what is used and why.

8. Your rights

Under UK data protection law, you have the right to ask us what personal information we hold about you, to ask us to correct anything inaccurate, and to ask us to delete information we no longer have a valid reason to keep. To make any of these requests, please contact us using the details below.
